Ballard Natural Gas has an opening for an administrative support person to work in our Install Department.  The Install Coordinator position is  a challenging one that requires strong communication, time management, and process management skills.  The ideal candidate will have experience working in a trade industry such as HVAC, electrical, plumbing, construction, and be familiar with warranties and permits.   You must be able to drive processes, know what needs to be done, and make it happen.   It is fast paced and demanding.   If this sounds like the type of challenging position in which you would thrive and excel then we'd like to hear from you!

Primary Job Function: To provide administrative support to installation departments;  ensure all deadlines are met; and maintain a positive, productive open line of communication between the client and all company departments.


  • 2+ years administrative experience working in a busy trade related office environment
  • MUST mechanical or contracting experience
  • Proficient in Word, Excel, Outlook, and Quickbooks
  • Ability to manage a multi-line phone system

Work Hours: Monday-Friday 8:00am to 4:30pm, some overtime

Pay Range:   Starting pay $25 p/hr

Example of Duties (Not all inclusive):

  • Order Equipment & job materials.  All purchasing should be done by 10:00 with sensitivity to statement cut offs.
  • Maintain open install job files.
  • Prepare installation invoices. Post to Acowin, sync to Quick Books.
  • Manage client call backs. Return customer calls in a timely manner, resolving open issues in a fast/efficient manner.
  • Manage Space Heaters (cold weather).
  • Update and maintain schedule board with all sold jobs, communicate scheduling issues with other departments
  • Check paperwork and timecard from previous day's job, schedule any punch list or uncompleted items.
  • Make sure all jobs have permits and the inspections are called in timely.
  • Create all job packets.
  • Coordinate with vendors as needed regarding returns, warranty, delivery, etc.
  • Coordinate van service and repair with the fleet supervisor.
  • Return overage stock to vendors, write PO and have material set out for pick up by vendor.
  • Complete paperwork for job costing, orders received, etc. and send to Accounting.
  • Schedule layouts and update layout and design schedules.
  • Coordinate with foreman and install manager
  • Provide exceptional customer care to internal and external customers
